Welcome to Checked!

Checked! Task & Calendar Pro is a comprehensive task and calendar management app designed to help you stay organized and productive. The app seamlessly integrates your tasks with your calendar events, giving you a complete view of your day.

View Modes

Checked! offers three different ways to view your tasks and events. Switch between them using the view mode button in the top toolbar.

List View

  • Your default daily view showing tasks and calendar events in a scrollable list
  • Perfect for getting a quick overview of everything on your plate
  • Swipe actions for quick task management
  • Shows past due tasks at the top

Single Day Timeline View

  • Visualize your day hour-by-hour from 12am to 11pm
  • See exactly when tasks and events are scheduled
  • Long-press on the timeline to create new tasks at specific times
  • Color-coded blocks show different calendars and categories
  • All-day tasks appear in a separate section at the top
  • Overlapping events are displayed side-by-side

Monthly Calendar View

  • See your entire month at a glance
  • Tasks and events displayed directly in calendar cells
  • Tap any date header to jump to that day's detailed view
  • Navigate between months using arrow buttons
  • Scroll to see all items in busy days

Task Management

Creating Tasks

The app offers multiple ways to create tasks:

  1. Quick Text Input: Type naturally in the input field at the top
    • "Team meeting tomorrow 3pm"
    • "Dentist appointment next Monday 9-10am"
    • "Call mom in 2 hours"
  2. Timeline Long-Press: In Day view, long-press on any time slot to create a task at that exact time
    • A blue preview will appear
    • Release to open the task creation sheet
    • Choose duration from 15 minutes to 4 hours
  3. All-Day Tasks: Long-press in the "All-Day" section to create all-day tasks

Smart Date Parsing

The app understands natural language for dates and times:

  • "tomorrow at 3pm"
  • "next Monday 9-10am"
  • "Friday afternoon"
  • "in 2 hours"
  • "today 9am-5pm"

Task Actions

  • Tap a task: Open full details for editing
  • Swipe Right: Mark as complete (checkmark will appear)
  • Swipe Left: Access more options
    • Delay by 1 hour, 1 day, or 1 week
    • Move to today
    • Delete task

Editing Task Details

When you tap on a task, you can edit:

  • Task name and description
  • Start and end dates/times
  • All-day toggle
  • Categories (multiple allowed)
  • Notes with full text formatting
  • Photo attachments
  • Invitees (email addresses)
  • Sub-tasks (checklist items)

Calendar Integration

Syncing Your Calendars

  1. Open Preferences (person icon in top toolbar)
  2. Go to Calendar Integration
  3. Enable "Sync with Calendar"
  4. Grant calendar access when prompted
  5. Tap "Calendars to Show" to select which calendars appear
  6. Choose a default calendar for new events

Converting Events to Tasks

  • Tap any calendar event to view/edit it
  • The event is automatically converted to a task
  • Add notes, photos, categories, and more
  • The original calendar event remains in your calendar
  • Perfect for adding context to meetings or appointments
  • Completing the task won't delete the calendar event

Calendar Permissions

If calendar events aren't showing:

  • Go to iPhone SettingsChecked!Calendars
  • Ensure "Full Access" is enabled
  • Return to the app and refresh

Categories & Organization

Managing Categories

  1. Open Preferences
  2. Tap "Manage Categories"
  3. Create custom categories with:
    • Custom names
    • Colors from a wide palette
    • Icons from the system library

Using Categories

  • Assign multiple categories to any task
  • Tasks are color-coded by their first category
  • Filter tasks by category using the sidebar
  • View all tasks in a specific category

Popular Category Examples

  • Critical Now: Urgent tasks requiring immediate attention (appears on all days)
  • Opportunity Now: Time-sensitive opportunities
  • Over the Horizon: Future planning and goals
  • Work: Professional tasks
  • Personal: Personal errands and activities

Quick Navigation

Set up your most-used categories for instant access:

  1. Go to PreferencesQuick Navigation
  2. Add categories you want quick access to
  3. Tap "Edit" to reorder by priority
  4. Remove categories you don't need
  5. Access them from the sidebar menu

Notes & Attachments

Adding Rich Content to Tasks

  • Notes: Add detailed text notes with multiple paragraphs
  • Photos: Attach multiple photos directly to tasks
    • Take a new photo or select from library
    • Perfect for receipts, documents, or reference materials
    • Tap photos to view in full-screen gallery
  • Sub-tasks: Create checklist items within a task

Dedicated Notes Section

Access the Notes view from the sidebar for:

  • Standalone notes not tied to specific tasks
  • Quick capture of ideas and thoughts
  • Organization with note categories
  • Deleted notes go to Recycling Bin

Common Questions (FAQ)

Q: How do I create a task at a specific time?

A: Switch to Single Day view using the view mode button in the toolbar. Then long-press on the timeline at your desired time. A blue preview will appear - release your finger to open the task creation sheet where you can name the task and adjust the duration.

Q: Why don't I see my calendar events?

A: Check these things:

  • Calendar Integration is enabled in Preferences
  • You've selected which calendars to display in "Calendars to Show"
  • The app has calendar access in iPhone Settings → Checked! → Calendars
  • Pull down to refresh the view

Q: How do I delay a task?

A: Swipe left on any task to reveal action buttons. Tap the clock icon to see delay options: 1 hour, 1 day, 1 week, or move to today. The task will maintain its time of day when delayed.

Q: Can I have tasks appear on multiple days?

A: Yes! Tasks with start and end dates spanning multiple days will automatically appear on each relevant day in your timeline.

Q: How do I filter completed tasks?

A: Tap the filter icon (three horizontal sliders) in the top toolbar. Toggle "Show Completed Tasks" on or off. You can also search for specific tasks and change the sort order here.

Q: What's the difference between tasks and calendar events?

A: Calendar events come from your Apple Calendar and are read-only until you tap them (which converts them to tasks). Tasks are created in Checked! and offer full editing capabilities including categories, notes, photos, and sub-tasks.

Q: How do I backup my data?

A: Go to Preferences → Backup & Restore. Your data is automatically synced to iCloud if you're signed in. You can also create manual backups and export your data.

Q: Can I share tasks with others?

A: Yes! When editing a task, scroll down to the Invitees section and add email addresses. You can set a default invitee email in Preferences for quick access.

Q: How do I delete all my data?

A: Go to Preferences → Cloud Sync → "Delete All App Data". Warning: This permanently removes all tasks, notes, and categories from this device and from iCloud on all your devices. This action cannot be undone!

Q: What are sub-tasks?

A: Sub-tasks are checklist items within a main task. You can add multiple sub-tasks and check them off individually while keeping the main task active. Perfect for breaking down complex projects.

Q: How do I switch between days?

A: Swipe left or right anywhere on the screen (except from the left edge) to navigate between days. You can also tap the date at the top to open a date picker.

Q: What does "Critical Now" mean?

A: "Critical Now" is a special category that makes tasks appear on ALL days, not just their scheduled date. Use it for urgent tasks that need constant visibility until completed.


Tips & Tricks

Productivity Power Tips

  1. Use "Critical Now" Category

    Create a category for urgent tasks that need immediate attention. Tasks with this category appear across all days until completed, ensuring you never forget important items.

  2. Master Timeline Creation

    The Day Timeline view is perfect for time-blocking your day. Long-press to quickly fill your schedule with tasks at specific times. This helps you visualize how your day will actually flow.

  3. Quick Date Entry

    Type naturally when creating tasks. The app understands phrases like "tomorrow at 3", "Friday morning", or "next week". No need for complicated date pickers!

  4. Photo Attachments

    Snap photos of whiteboards, receipts, or documents and attach them directly to relevant tasks. This keeps all related information in one place.

  5. Set a Default Calendar

    In Preferences → Calendar Integration, set a default calendar. This ensures new events are automatically created in the right place without asking every time.

  6. Master Swipe Gestures

    Swipe right to quickly complete tasks. Swipe left for delay and delete options. These gestures are much faster than tapping into each task.

  7. Use Monthly View for Planning

    Switch to monthly view to spot gaps in your schedule and plan ahead. It's perfect for seeing patterns and ensuring you're not overbooked.

  8. Customize Your Quick Navigation

    In Preferences → Quick Navigation, add your most-used categories to the sidebar. Reorder them by priority so your most important categories are always one tap away.

  9. Color Code Your Life

    Use different colors for different types of tasks. For example: red for urgent, blue for work, green for personal. This makes scanning your day much easier.

  10. Review Past Due Tasks Daily

    Past due incomplete tasks appear at the top of your list. Review these each morning and either complete them, reschedule them, or delete them if no longer relevant.

Appearance Settings

  • Appearance Mode: Choose between System, Light, or Dark theme
  • Font Size: Adjust text size for comfortable reading
    • Options: Small, Medium, Large, Extra Large
    • Preview shows how tasks will look
  • Theme Color: Personalize with your favorite accent color
    • Options: Blue, Purple, Green, Orange, Red, Pink, Teal, Indigo
    • Affects buttons, highlights, and accents throughout the app

Organization

  • Manage Categories: Create, edit, and delete task categories
  • Quick Navigation: Customize which categories appear in the sidebar

Calendar Integration

  • Sync with Calendar: Enable/disable calendar sync
  • Calendars to Show: Select which calendars display in the app
  • Default Calendar: Choose where new events are created
  • Default Invitee Email: Set a frequently-used invitee for quick task sharing

Notifications

  • Task Reminders: Enable notifications for upcoming tasks
  • Calendar Alerts: Receive alerts from your calendar events
  • Daily Reminder Time: Set a time for daily task review notifications

Backup & Restore

  • Create manual backups of your data
  • Restore from previous backups
  • View iCloud sync status
  • Export data for safekeeping

Cloud Sync

  • Sync Status: View current iCloud synchronization status
  • Delete All App Data: Permanently remove all data from device and iCloud (use with extreme caution!)

Subscription

  • Restore Purchases: If you purchased Pro on another device, restore your purchase here

Troubleshooting

Calendar Events Not Showing

Solution:

  1. Open Preferences → Calendar Integration
  2. Verify "Sync with Calendar" is enabled
  3. Tap "Calendars to Show" and ensure your calendars are selected
  4. Check iPhone Settings → Checked! → Calendars (Full Access should be enabled)
  5. Return to the app and pull down to refresh

Tasks Not Syncing Across Devices

Solution:

  1. Verify iCloud is enabled on all devices (Settings → [Your Name] → iCloud)
  2. Check internet connectivity on all devices
  3. Go to Preferences → Cloud Sync to view sync status
  4. Wait a few minutes - sync can take time with large datasets
  5. Try force-closing and reopening the app on all devices

App Performance Issues

Solution:

  1. Force-close the app (swipe up from app switcher)
  2. Reopen the app
  3. Ensure you're running the latest version (check App Store for updates)
  4. Check available storage on your device (Settings → General → iPhone Storage)
  5. Consider archiving or deleting old completed tasks
  6. If issues persist, try restarting your iPhone

Task Not Appearing on Expected Date

Solution:

  1. Tap the task to check its start date in edit mode
  2. Verify filters aren't hiding it (tap filter icon → check "Show Completed Tasks")
  3. Make sure you're viewing the correct date
  4. Check if it has a "Critical Now" category (these appear on all days)
  5. Check the search bar - clear any search text that might be filtering results

Cannot Create Tasks on Timeline

Solution:

  1. Make sure you're in "Single Day" view mode (tap view mode button in toolbar)
  2. Long-press for at least 0.4 seconds - a quick tap won't work
  3. Press on the right side of the screen (not on the time labels on the left)
  4. Look for the blue preview indicator to appear
  5. Make sure you're not dragging your finger - hold it still

Duplicate Tasks Appearing

Solution:

  1. This may occur with recurring calendar events
  2. The app attempts to prevent duplicates automatically
  3. If you see duplicates, try deleting one version
  4. Ensure calendar sync is working properly
  5. Contact support if duplicates persist

Photos Not Attaching to Tasks

Solution:

  1. Check iPhone Settings → Checked! → Photos
  2. Ensure "All Photos" or "Selected Photos" access is granted
  3. Check available storage on your device
  4. Try taking a new photo instead of selecting from library

Restore Purchases Not Working

Solution:

  1. Ensure you're signed in with the same Apple ID used for purchase
  2. Check internet connectivity
  3. Go to Preferences → Subscription → Restore Purchases
  4. Wait for confirmation message
  5. If issues persist, contact Apple Support or app support

Setting up Mac for Windows users (users that need to be use both Mac + Windows)

My personal usage... please make sure the software you use is safe prior to downloading: AltTab -> Switching windows Change keyboard short to use Control vs Command Mouse setting: disable natural scrolling (make it similar to windows scrolling) Safari View -> Show Favorites Bar App Store: download ad blocker..
